Refund Policy

At Wander Woman, we strive to provide clarity and transparency in all aspects of our trip/event management, including our refund policy. Below are the key points of our refund guidelines to ensure a seamless and fair process for all participants:

Non-Refundable Booking Fee

The booking fee is strictly non-refundable. This is our foremost and most essential policy, designed to secure your spot and cover administrative expenses.

Policy Authority

Only the Wander Woman management team has the authority to modify or amend this refund policy. Any requests or suggestions for changes outside of this framework will not be entertained.

Refund Requests

Refunds will only be processed upon receiving an official refund request from the participant.

Grace Period Refund Structure

Refunds are calculated based on the time remaining until the event date, as follows:

  • 120–90 Days Before Event: 75% refund
  • 90–60 Days Before Event: 50% refund
  • 60–30 Days Before Event: 25% refund
  • 30–0 Days Before Event: No refund

This structure accounts for three distinct refund scenarios and ensures fairness while managing the costs and commitments involved in organizing Wander Woman.

1. Refund Policy for Participant-Initiated Trip/Event Cancellations

  • The non-refundable booking fee will not be returned under any circumstances.
  • Refund eligibility is subject to the refund policy grace period outlined above.
  • Refunds will only be initiated after receiving an official refund request along with a valid reason.
  • If no refund request is submitted within the stipulated time, no refunds will be processed.
  • Cancellation requests made less than 30 days prior to the event will not qualify for any refund.
  • Participants are responsible for understanding the terms before making any cancellation.
  • All cancellations must be communicated in writing to the Wander Woman management team.
  • Wander Woman reserves the right to withhold any refunds if deemed necessary due to policy violations, breach of terms, or exceptional circumstances.

2. Refund Policy for Wander Woman-Initiated Trip/Event Cancellations

  • All monetary transactions along with the booking money will be converted to a voucher with a limited time period of 1 year.
  • Clients can use the voucher for the same category of trip/event.
  • Wander Woman is not liable for any additional expenses incurred by participants (e.g., flight bookings, travel insurance, or personal preparations).
  • Participants will be informed promptly about the cancellation, with clear reasons provided (e.g., unforeseen circumstances, insufficient registrations, safety concerns).

3. Refund Policy for Cancellations Due to Natural Disasters or External Factors

  • Refunds, voucher or rescheduling options will be offered based on the specific circumstances, and any non-refundable expenses already incurred (e.g., booking fees or third-party service costs) will be deducted.
  • Voucher Calculation Policy: The voucher amount will be determined after deducting all operating and prepaid expenses related to the trip from the total transaction amount. Here's how the process works:
    1. Calculation of Balance: All operating and prepaid expenses incurred for the trip will be subtracted from the total transaction amount.
    2. Positive Balance: If the calculation results in a positive balance, a voucher will be issued for the equivalent amount.
    3. Negative Balance: If the calculation results in a negative balance, no voucher or refund will be provided.
    4. Cash Refund: If a client opts for a cash refund instead of a voucher, she will be eligible to receive 50% of the voucher amount.
  • In the event of cancellations caused by natural disasters, government regulations, or other external factors beyond our control, Wander Woman will prioritize the safety and well-being of all participants.
  • Clear communication will be maintained to inform participants of the situation and the steps being taken to address the issue.

Additional Notes:

  • Wander Woman reserves the right to include or exclude any individual from the event at its sole discretion, based on the best interests of the event and its participants.
  • All decisions made by the Wander Woman management team are final and binding.
